LatinoBuilt is a trade association for Latino Contractors in Oregon. A 501(c)(6) nonprofit whose purpose is to support and empower construction companies to participate more fully in Oregon’s construction economy.

LatinoBuilt is searching for a Bilingual Executive Assistant to support the Executive Director and staff on administrative and operational duties.  This position is responsible for working closely with the Executive Director on daily operations, managing organizational calendars, and overseeing daily office activities. This position requires both the ability to work effectively as part of a team and the ability to work independently. The ideal candidate will be a highly organized individual that is able to handle sensitive information with integrity and discretion, cultivate a thorough understanding of the day-to-day operations, and independently create daily, weekly, and monthly work plans for themselves and other staff.


  • Bachelor’s Degree; or relevant experience (min. of 2-3 years)
  • Excellent interpersonal and communication skills (Spanish & English fluency required)
  • Strong administrative, planning, and organizational skills
  • Able to prioritize assignments to meet deadlines, multi-task, and work with different time zones
  • Exercise good judgment in a variety of situations
  • Respect for confidentiality and discretion to effectively manage sensitive information
  • Experience scheduling, booking, and coordinating travel arrangements
  • Proven competency using MS Office applications; Outlook, Word, Excel, PowerPoint (at intermediate or advanced level)
  • Working knowledge of CRM systems  (i.e. HubSpot, SmartSheet) and Google Products: Drive, Docs, Sheets, Calendar, Slides
  • Meticulous diligence and accuracy
  • Driven to support fellow team members and contribute to collective success
  • High level of comfort and professionalism interacting with a wide variety of stakeholders (i.e. partners, clients, contractors, custodians, elected officials, CPAs, attorneys, board members, and staff)

  • Calendar management, meeting coordination and preparation, and preparing attendee communications
  • Set up and prepare in office and remote video conferences
  • Manage general office emails and respond on behalf of senior leadership when required
  • Book travel and guest accommodations as needed
  • Schedule, plan, and coordinate meetings for Executive Director and/or Board
  • Prepare and edit correspondence, reports, and presentations
  • Collect data and information for distribution to the Board prior to meetings
  • Facilitate appreciation and recognition initiatives
  • Manage the use of the organization’s equipment and technology

Other Duties & Tasks:

  • Communications: Manage the organization’s general communications including phone calls, emails, and member communications.
  • Events: support education programs, member meetings, and in-house events with publicity and space set-up.  Event support includes distribution of print and electronic event communications, phone & text banking, coordinating with vendors & sponsors, and ensuring quality events.
  • Donation & Expense Tracking: Track donations, expenses, and receipts for operational activities. Promote donor relations activities and manage donor acknowledgement letter distribution.

Job type: Full-time
Schedule: M-F 8:30am-5:00pm, with some weekend commitments
